Administrators can click Personnel on the Home page in Management Mode to enter the personnel management page. In Personnel, administrators can manage user (employee) information, including personal basic information, salary, approval permissions (such as leave, overtime, fieldwork, etc.), and set groups and administrators to assign approval responsibilities. In addition, administrators can view user (employee) performance, contact lists, birthdays, and seniority, support user (employee) document upload and download functions, and provide data export functionality (xlsx format). If files need to be uploaded, the Premium storage space plan must be subscribed.


Personal Information

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. Administrators can view or edit user (employee) personal information, including login account, name, Nickname, employee ID, gender, birthday, mobile number, Email, address, group, position, hire date, official employment date, extension number, and emergency contact person.

If administrators enter a birthday, personnel whose birthdays are coming within 30 days will appear on the Management Mode home page, making it convenient to distribute birthday bonuses or arrange celebration activities.

Responsibility-Based System

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. The responsibility-based system is divided into requiring clock-in and not requiring clock-in.

Reminder

  • For users (employees) whose responsibility-based system has been set to not requiring clock-in, if they need to take leave for multiple days, administrators still need to create schedules for that employee, and the leave according to schedule function must be enabled.

Allowed IP Address

  3. Administrator of the Same Group: Can only approve missed clock-in applications of users (employees) within their own group, ensuring clear permission scope.

This design ensures that applications are handled by administrators familiar with user (employee) conditions or with appropriate authority, helping improve approval efficiency and accuracy. At the same time, the system records the approval process to provide complete operational traceability and ensure data transparency.

Note:

  • Currently, the system supports setting only one approver, and candidate approvers cannot be configured.
  • Approvers only have approval permissions and cannot delete or modify data.
  • If the approver no longer has administrator permissions, the approver can still continue to approve leave applications of users (employees). However, if the approver has been set as resigned, the system cannot assign the approver, and administrators must reconfigure all user (employee) data previously approved by that approver.

This restriction ensures clear approval responsibility and prevents unauthorized record modification. If further modification or adjustment is required, it must be handled by the creator or highest administrator.

Leave Approver

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. When users (employees) submit leave applications, the system automatically submits the application to the designated approver for approval.

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. Administrators can set whether the user (employee) must request leave according to scheduled shifts.

  1. Enabled: Enable leave according to schedule. Users (employees) must request leave within the scheduled shift range. Suitable for users (employees) who have scheduled shifts.
  2. Disabled: Disable leave according to schedule. Users (employees) do not need to request leave within the scheduled shift range. Suitable for users (employees) without schedules or fixed shifts.

Benefits of enabling leave according to schedule

  • For scheduled users (employees), enabling leave according to schedule allows applying for multiple days of leave at once.
  • Leave approvers only need to approve once instead of approving each request individually.

Overtime Approver

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. When users (employees) submit overtime applications, the system submits the application to the designated approver for approval.

Remaining Missed Clock-In Quota

Administrators can click Personnel on the Home page in Management Mode, then select Personal Information, and then click any user (employee) to enter the personal information editing page. This section displays the current remaining missed clock-in quota of the user (employee), with a default of 12 times, which can be adjusted as needed.

  • Application and deduction: When users (employees) submit missed clock-in applications, the system automatically deducts one quota.
  • Approval result: If the application is not approved, the deducted quota will be automatically returned to the user (employee) account.

Reminder:

  • Approvers should process missed clock-in applications promptly to avoid affecting users’ (employees’) normal work arrangements.
  • Confirm the accuracy of quota deduction or return to ensure missed clock-in quota records are correct and comply with system policies.
  • Currently, the remaining missed clock-in quota does not reset automatically by month or year. Administrators must manually reset each user (employee).

Contact List

Administrators can click Personnel on the Home page in Management Mode, then select Contact List to enter the contact list page. This section displays the contact list of users (employees).

Currently, only administrators can view the contact list. Users (employees) cannot view it.


Birthday

Home > Management Mode > Personnel > Birthday

Administrators can click Personnel on the Home page in Management Mode, then select Birthday to enter the birthday page. This section displays the birthdays of users (employees).

Currently, only administrators can view birthdays. Users (employees) cannot view them.


Seniority

Home > Management Mode > Personnel > Seniority

Administrators can click Personnel on the Home page in Management Mode, then select Seniority to enter the seniority page. This section displays the seniority of users (employees). Seniority is calculated based on the Hire Date.

Currently, only administrators can view seniority. Users (employees) cannot view it.

Q3: How to set the responsibility-based system and allowed clock-in IP address for users (employees)?

A: The responsibility-based system and allowed IP address settings are configured on the Personal Information editing page of users (employees). Administrators can find the Responsibility-Based System field on that page and choose whether the user (employee) requires clock-in or does not require clock-in. For users (employees) using Wi-Fi clock-in, administrators can set matching IP addresses in the Allowed IP Address field to ensure clock-in can only be performed under specific network environments.

Q4: What qualifications are required for approvers of leave, overtime, work-from-home, and fieldwork business trip applications?

A: Currently, the system supports three candidate approver qualifications: creator, highest administrator, and administrator of the same group. The creator and highest administrator have the highest authority across the entire organization and can approve all user (employee) applications. Administrators of the same group can only approve applications within their own group. Please note that currently only one approver can be set for each type of application.

Q5: What limitations exist on approver permissions?

A: Approvers mainly have approval permissions but do not have permission to delete or modify data. Even if the approver no longer has administrator permissions, the approver can still continue to approve user (employee) applications. However, if the approver is set as resigned, the approver cannot be assigned again, and administrators must manually reset all user (employee) data previously approved by that approver.

Q6: How does the remaining missed clock-in quota operate?

A: The remaining missed clock-in quota defaults to 12 times and can be adjusted by administrators as needed. When users (employees) submit missed clock-in applications, the system automatically deducts one quota. If the application is not approved, the deducted quota will be automatically returned. A: Currently, leave applications, overtime applications, work-from-home applications, and fieldwork business trip applications are not integrated with the scheduling feature after approval. This means that even if applications are approved, the corresponding leave, overtime, work-from-home, or fieldwork periods will not automatically appear in the schedule. Administrators and users (employees) should take note when viewing schedules.
